Kelio Data exchange

This module allows you to import and export various types of data. It is available from Navigation menu > Administrator workspace > Data exchange.

You can use the software's standard imports (Public holiday import, Employee import, etc.) or create configurable imports.

If you require complex or automated exports or imports, customised developments are available.

tog_minus        Standard import

For a standard import, you must provide a file previously created using the models supplied, in a specific format. Your file must be adapted to the Kelio software's requirements.

The standard imports are listed in the Selection tab. You can then click on one of them to configure them. Depending on which standard import you choose, various data must be entered in one or two tabs:

•Employee identifier selection (key fields for the import):

- Surname + First name

- and/or ID number

- and/or Badge No.

•Separator: character to identify changes of column in the file to be imported (e.g. a semicolon in CSV files).

•Date format selection:

- DDMMYY - YYMMDD

- DDMMYYYY - YY/MM/DD

- DD/MM/YY - YYYMMDD

- DD/MM/YYY - YYY/MM/DD

Employee by default selection:

•Either Kelio's template employee (check the box)

•Or existing employee in Kelio - fill in the following fields:

- Surname and First name

- and/or ID number

- and/or badge No.

The chosen employee by default must have a unique identifier. It is most important not to duplicate the information entered for this employee. The employee entries must allow for new employees to be created as well existing employee data to be modified.

To create an employee, duplicate the employee by default then update his/her data.

To summarise, there are 2 possible scenarios when you import:

•If the employee's identifier does not exist, it will be created

•If the employee's identifier exists, it will be modified.

You can use the configurable imports to import your files as you want by configuring the columns yourself.

1.Click on icn_plus_data to open the Customised import creation wizard.

2.Enter a Description and an Abbreviation.

3.Select a Data filter in the dropdown list:

The content of the following tab varies depending on the selected filter.

5.Choose the Employee identifier (key fields when importing):

- Surname and First name

- and/or ID number

- and/or Badge No.

6.Choose the Default employee: this employee is used when you create new employees to complete the information.

7.Import file format selection.

8.You may enter other information.

9.Choose the File to be imported by clicking on the icn_paperclip button.

10.Choose the Number of columns to be configured using the arrows icn_two_arrows.

11. Configure the columns as you require by clicking on the icn_3 dots - data

12.Save button.

tog_minus        Customised import

A specific development is required for a customised import.

It uses the same functions as the configurable import and also allows you to import files by combining several data filters. For example, you can import a file that contains Employee data as well as Clocking data.

You can also use the customised import to implement automatic import functions.

The various types of export use the same functions as the imports. It is however possible to automate all the types of export.
