Job Costing management allows you to automatically breakdown totals of all employees in order to count the time spent on each cost centre and to analyse it in detail. This management mode allows you to link the different employees, sections, absence types and working windows to cost centres in order to perform an automatic or manual calculation of cost centre totals.

From the Time & Activities module, you can easily create a new cost centre and assign it to the profiles that will be authorised to use it. In this way, an Administrator - Time and activities can manage the use of a new cost centre without requiring access rights to the User rights module.

Adding a cost centre

1.From the Time & Activities > Set up > Activities > Cost centre(s) menu, click on icn_add_black or right-click on the list of cost centres and select Add.

2.Enter a Description, an Abbreviation and if necessary a Detailed description for this cost centre.

3.Enter an analytical section Code for this cost centre.

4.Select a distinctive Colour by clicking on the square. Do the same for a Shading.

5.Indicate (optional) the dates between which the cost centre will be usable on the terminals and for the employee users. This function is used to hide the cost centres that are no longer used.

6.Link this centre to the elements that it controls by clicking on icn_3 dots to the right of the box.

7.If necessary, add the cost centre's Hourly rate and the application date (configured previously in Setup > Customisation > Activities > Cost calculation mode).

a.To do so, click on icn_3 dots.

b.Click on icn_plus to add a new rate or on icn_pencil to modify (overwrite) the current rate.

c.Choose the new Date and Hourly rate.

d.Confirm the entry. Using this procedure, it is possible to have a history of all hourly rate changes for each entity. The current rate value which is displayed automatically on the screen corresponds to the setup you carried out earlier.

8.Choose the Rights profile which will be authorised to use it.

The Employee - Self-Service profile: Virtual clocking terminal corresponds to profiles that are allowed to clock activities in Expert mode.

The Employee - Self-Service profile: Activity declaration profile corresponds to the profiles who are entitled to make activity declarations.

The Employee - Mobile Self-Service profile corresponds to the profiles who are entitled to clock cost centres via a smartphone.

The Employee - Terminal profile corresponds to the profiles who are authorised to clock cost centres on the terminals.

The Manager - Employee Self-Service profile corresponds to the profiles who are authorised to assign cost centres in the Intranet.

The Manager - Mobile Self-Service profile corresponds to the profiles who are entitled to assign cost centres via a smartphone.

The Administrator - Time and activities profile corresponds to the profiles who are entitled to assign cost centres.

The Manager - Planning profile corresponds to the profiles who are entitled to assign cost centres from the Planning module.

9.Follow these instructions to link this file to an entity.

10.Click on Save to validate the entry.

Only tasks and cost centres can be represented by symbols or colours; clients are distinguished only by Abbreviation and Description.

Deleting a cost centre

To delete an activity, you must select it in the list and click on icn_delete_black or right-click and select Delete. In order to take a cost centre off a profile, you must select it from the dropdown menu and uncheck the concerned profile. Click on Save to confirm.

Barcode printing

If you want to, you can click on Print barcodes to print out the barcodes for different cost centres:

•        in PDF format, by choosing the reader configuration (barcode scanner, etc.)

•        with the Evolis printer by choosing a badge template.

When you want to print out the barcodes for several cost centres, simply switch them to the selected elements. The report will show the barcodes for the cost centre, its description and its abbreviation.
