Validate a request

In the annual calendar of absences, the validator can click Validate to access the screen listing all the absence and remote working requests. He/she can approve or deny several pending requests at a single time by selecting them and checking the corresponding box.

 

Filters can be applied to this list to show only part of it. These filters allow you to:

Select the request type

Display a period of absence request creation

Select the status of the absence requests:

oThe pending absence requests "awaiting validation" of the users for whom he/she is the validator,

oThe absence requests that he/she has refused,

oThe absence requests accepted if he/she is the last validator,

oThe "For information" requests if he/she is an intermediate validator (by activating the corresponding box).

By setting notifications, you can be informed of the number and status of requests directly from the portal.

Information for each request

The requester's Surname,

The request Type,

The request Creation date,

The Start date of the absence,

The End date of the absence,

The absence Duration if there is no end date,

The absence Type,

The request Status,

The Anomaly(if any),

The Estimated balance - In order to help the validator in their choice, it is possible to add the estimated balance column to this validation table. This prevents the opening of requests one by one to validate absences. This column is enabled from the User rights module.

Using the link Activate my transfer  the validator can, in case of absence, enable the transfer to the user/s set up in the employee file. When activating the transfer, the validator can select the validators in a list. The parallel validators principle is applied.

If automatic remote working validation is in use, the validated request will not appear on this screen. However, you can activate email alerts in the Validator profile.

Depending on the setup (automatic function to be created in the Configuration module) during implementation, it is possible that absence requests

for which the start date in the past

for which the start date is within the next X days

for which there has been no response for X days

will automatically be Validated. In this case, the validator displayed is SYSTEM.

Controlling requests

In the Kelio Setup module, as well as in the employee file, it is possible to establish constraints to control absence or remote working requests (see the online help for the module).

These controls can be inhibiting and prohibit the creation of a new request if the latter does not fulfil the constraint's conditions, or be non inhibiting and just generate a warning message.

When the icn_anomaly_may be corrected icon is displayed at the top of a request, this indicates that a constraint applied to requests is not respected.

Click on the request to go to the screen where you can enter a comment for the requester so that he/she can possibly modify his/her request. You can also Validate the request after changing its status.
