This function lets you cover requirements automatically, only from the preliminary planning AND in view of posts. To run an automatic assignment, you need a post to be planned on which there are individuals not yet assigned to a post. The automatic assignment schedules them on the posts to which they meet (job conditions, skills, ...) and this, within the limits of the needs of the post. The priority concepts that you configured when creating posts are very important. If you do not manage any priority, the result will be completely random.

1.In the left-hand part of the screen, under the Automatic assignment tab, click on . The configuration launch window opens.

2.Change the dates if applicable.

3.Refine the starting parameters if needed by clicking on .

Browsing the automatic assignment

For each day of the planning, the automatic assignment first browses the priority posts in the order that was defined, then the other planning posts according to the selected browsing type. By default, the days are browsed in chronological order.

If there are several posts with the same priority level, the automatic assignment browses these posts according to the Browse other posts parameter.

a.Click on and select one or more Posts from the dropdown menu .

b.Check the Days for which you want this post to be assigned as a priority from the dropdown menu . Click to confirm. Repeat as many times as necessary on the days in question.

c.Define how you want the assignment to cover the posts that do not have defined priority days:

In random order - The posts are assigned each day in random order.

4 posts are displayed on the planning in this order: A, B, C, D. The posts are filled: 1st day: D, A, B, C; 2nd day: C, A, B, D; etc.

In order of the planning display - The posts are assigned each day in the same order as they are displayed in the planning, from top to bottom.

Employee priority

d.Assign the employee to the post for which he/she has the highest priority level. A employee who has a different priority level on several posts will be assigned to the post for which he/she has the highest priority level. The aim of activating this option is to cover the requirements on the various posts with priority 1 employees, then move on to priority 2 employees and so on, ending with those who are not a priority.

e.Define the Concept registration order to be taken into account using the and arrows. If two employees can be planned for a post that only requires one, the post will be assigned to the employee who has priority in the post assignment conditions according to the registration order defined here.

For a registration order 1-Jobs and skills 2-Priorities for the post 3-Customisable fields

The employee who has priority for the Job title will be assigned to the post. If both employees have the same priority for the job, then the employee who has priority for the post will be assigned.

Assignment option

f.Maintain planning of schedules does not change employees' schedules at automatic assignment.

g.Favour continuity on work and activity posts places the same people in priority on the same posts. In this way an employee returns to the same post the following day and may continue their work.

h.Favour continuity on on-call duty posts places the same people in priority on the on-call duties. In this way you ensure that the same person remains on on-call duty for a week, for example.

i.Validate.

4.If necessary uncheck some posts from the list, otherwise the assignment will be run on all work, activity and on-call duty posts open on the screen (see planning of posts). For a standard week, an employee already placed on the post is prioritised without taking into account his or her assignments. It will work in Day view only.
