By selecting the SET UP profile and according to your rights, you access the Visits > Visit models menu.
You can set up different visit templates which will then be accessible from the dropdown menu, such as the file for a:
•Simplified visit
•Entire visit
•Pedestrian
•Truck
•Commercial visit,
•etc.
Visit templates help you to build visit files with the desired fields. Built sheets are particular in that they can associate an attribute (Hidden, Read-only, Editable or Mandatory) to each field, whether for the access module or the visitors terminal. A user with a specific right (Administrator - Access setup > Visit model management profile) can view or edit fields with a hidden or read-only attribute.
Create a template
1.Click on or right-click on the list and select Add.
2.Enter a Description for the template.
3.Enter a Description if necessary.
4.To add a parameter, click on the button.
5.To find a concept again quickly, use the search bar. Check the desired concept, Validate.
6.Set the attributes for the access module and visitors terminal.
7.Save.
Information available for the template
This section mainly allows you to set up the start and end of visits as well as actions related to visitor badge usage: Visit dataThe Visit start and end time and date are selected as default parameters. If the Default duration of the visit for this template is fixed, specify it. If the visitor is authorised to stay longer than anticipated, check the Authorised to exceed access time* box. If the visit is repeated regularly, add the Recurring visit* box. If you know the Visited person in advance, you can select their Surname/First name from the drop-down menu. You can create a new visitor directly on the visit file by enabling A new visitor may be created. The Reason for visit parameter allows you to give information about the visit. Generate the visit’s QR code - see below.
Start the visitStart the visits automatically for the current time after recording. Visits created for the current hour will start automatically once the visit file is registered. The current hour must fall within the window of the scheduled visit. Specify the Maximum duration before the start of the visit is suggested depending on the start time. Take a photo of the visitor, Take a picture of a document and Guidelines are used for the visitors terminal.
Validate the start of the visit and open an access point - This parameter is used to define whether the visitor should wait for someone to open the door or whether they can start their visit alone from a visitors terminal. In that case, you define the authorised access points here. Entry file signature - This parameter makes the visitor's signature upon arrival a requirement. Print a card/badge to print automatically or manually. The print template must be chosen from the drop-down menu. Activate a badge (Link a badge to a visit) is used for the visitors terminal. Badge given to the visitor at the start of the visit* - information that appears on the visit file. Personal code display - see below.
Close the visitBadge given to the visitor at the end of the visit* - information that appears on the visit file. Comment on the conduct of the visit - to add comments, if any. Close the visits automatically at the planned visit end time - The visits will be automatically closed at the end time scheduled in the visit file. Open an access when closing the visit - This parameter is used to determine whether the visitor can leave the premises alone after the visit. In that case, you define the authorised access points here. Exit file signature - This parameter makes the visitor's signature upon departure a requirement. Close the visits by swiping the badge in front of a reader - Swiping the badge in front of this reader ends the visit. In that case, you define the readers concerned.

Warn the visitor - An email is sent to the visitor with the possibility to attach the visit file with or without the questionnaire and several documents. Scheduling a reminder before the visit is possible. Warn the person visited - The appointment is sent in the messaging calendar of the person visited, with a choice for the type of alert sending by email or SMS (automatic or manual). |
This section allows you to choose information relating to the visitor. Visitor informationThe Visitor’s Surname and First name are selected as default parameters. Title, Visitor's organisation, Identity card, Passport, Driver's licence, Vehicle registration, Attachment, Recurring visitor*, Business phone, Other business phone number, Email address, FAX number, Postal address (Street/Additional address field 1/Additional address field 2), Postcode/City, Comment, Section(s) This data is either from the visitor file or can be entered while creating the visit if the chosen attribute is Modifiable. Visitor present on site - Default site selection for this template.
Visitor accessBadge code - The visitor will be given a badge for access to the site. The badge number must be entered on the visit file. Biometric user* - The visitor will gain access by fingerprint. Personal code - The visitor will be given a code for access to the site. Choose the personal code default value (automatic or manual). Access profile - Define the default value of the visitor profiles created previously.

In the two categories above, some parameters correspond to the actions to be taken by the visitor when they are greeted by a visitors terminal. Visitor management with Kelio Visio X7
QR code - generates a QR code when creating the planned visit file. This will be sent by email to the visitor to identify themselves on the terminal during their visit. Visitor photo - option to add an explanatory message. This photo can be used as the primary photo for the visitor's individual file. Document photo - allows, for instance, to take a picture of an identity document. Option to add an explanatory message. Instructions - option to display safety or other instructions, in .jpg, .png, .doc, .docx, .ppt, .pptx or .pdf format. Signatures - The visitor must sign in and out during their arrival and/or departure respectively. Activate a badge - used to enter the badge number in the visit file and is included in the message that the visitor will read, instructing them to swipe the badge on the reader. Personal code display - option to put an explanatory message on the code confidentiality. Visit validation - states whether the visitor is autonomous or whether a third party (guardian) must validate the visit End the visit - When they leave, the visitor ends their visit on the terminal and can trigger the opening of an access point. The access point in question can be linked directly to the terminal or be another access point to the same building. The opening procedures for entry and exit are independent: in effect, you can activate just one of the two.
